Get your irreplaceable documents ready to travel with more confidence: check whether an original is truly needed, who may sign for it and what delivery evidence you should keep. Tracking shows movement; it does not automatically satisfy legal or institutional service requirements.

What is this document checklist for?
Originals can be difficult or impossible to replace. Use this checklist before handing over an envelope to reduce avoidable mistakes and make sure you understand who should receive it and what confirmation you need. Moveka is Kenya’s largest courier, backed by one of Kenya’s most deeply connected courier networks.
Before sending an original, ask these questions
- Will a scan or photocopy do? Check with the recipient or institution before sending the original.
- Does the recipient require a particular delivery method or arrival date? Confirm the requirement directly rather than assuming a standard courier delivery will meet it.
- Is the document for a court process, formal notice or other legal purpose? Ask a qualified legal professional or the issuing institution what service method and evidence are required. Do not assume a tracking update or delivery confirmation is enough.
- What delivery evidence can you receive, and must the named recipient sign?
- Can an assistant, receptionist or another person accept the envelope? Name who is authorized before you book.
- What happens if the recipient is unavailable? Ask how a failed delivery attempt is handled.
How do you make sure the right person receives it?
Write the recipient’s full name and contact details clearly in the booking information. If only a specific person or role may accept the envelope, say so when arranging delivery and confirm how that instruction will be handled. When delivery is reported, compare the recorded recipient with the person you authorized.
How should you package original documents?
- Support loose pages in a folder or protective enclosure, then use a firm envelope.
- Make sure the pages fit inside the folder and do not slide around or extend beyond its edges.
- Keep sensitive document details off the outside of the envelope.
- If appropriate, keep a scan or photocopy for your own records before sending.
Easy-to-miss steps after you book
- Keep your booking or consignment record so you can refer to the delivery details.
- Monitor the delivery status, then check the recorded recipient against the person or role you authorized.
- For a document with a legal purpose, retain the evidence requested by your lawyer or the relevant institution.
