What is this sender checklist for?
It helps you catch the details that can slow down a handover or leave a buyer wondering about their order. Build it into your routine: gather the information at checkout, check it before booking and make it easy for the customer to correct an error before collection.
Describe and prepare the parcel accurately
- Write a clear, accurate description of what is inside. Avoid vague labels that could make the contents unclear.
- Check the current prohibited- and restricted-item rules for the selected service and the specific item. If you are unsure, check before booking rather than assuming it can be sent.
- Pack the item securely for handling, and note any relevant handling instructions.
- Record the parcel’s size and weight accurately where the booking asks for them.
Collect the buyer’s details before you book
- Check the sender’s and recipient’s names and reachable phone numbers.
- Confirm the delivery location and add useful access directions, such as a building name, entrance or other identifying detail.
- Check the details against the buyer’s order, not just a saved address or old message.
- Give customers a simple way to correct their contact or delivery details before collection. Share the booking reference and explain how you will pass along delivery updates.
Who can hand over or receive the order?
Send an item you own or have authority to send. If someone else will hand it over or receive it, agree on that person in advance and check what authorisation or verification the selected service requires.
- Make sure the person handing over the parcel has the correct item ready and can match it to the booking details.
- Keep the booking or pickup reference available, if one is provided.
- If someone else will receive the order, tell the buyer who should be ready and how to reach them.
Easy-to-miss details that can disrupt a delivery
- A contents description that is too broad to identify what you are sending.
- A missing or mistyped buyer phone number.
- A location with no access directions when the address is hard to find.
- A restricted item you did not check against the selected service’s current rules.
- A representative who is not expecting the handover or does not know what item is booked.
