What is this return checklist for?
When hired equipment, reusable containers or supplies leave your property, a clear record helps you know what went, who handed it over and what still needs attention. Use one handover record for each return or repair consignment, and keep it with the relevant hire, dispatch or repair paperwork.
What should you record for each return?
- Identify each item: record its description, asset or crate ID, quantity and serial number where relevant.
- Track the handover: note the origin, destination, date, releasing person and receiving person.
- Record condition: describe visible damage, shortages or other issues at handover. Note what was accepted and what was not, and attach clear photos to the same record.
- Keep the paper trail together: file the hire agreement, dispatch or return note and any related repair paperwork with the handover record.
- Keep a copy with the job record so you can check the return against what was expected.
How do you track equipment sent for repair?
Give every repair item its own record. Log the reported fault and current condition, who approved the repair, the service provider, dispatch date, work or parts noted, return date and post-repair status. Keep its status as away for repair until it is physically back and checked in.
Which return details are easy to miss?
- On collection, reconcile the expected items against the crates and equipment physically received.
- For anything missing or damaged, record the exception and assign a named person to follow up with the vendor or repair provider.
- When repaired equipment returns, collect the service checklist or report and record any follow-up work still open.
- Close the record only after the item is checked back in and its condition and status are noted.
