How accurate parcel measurements help at handover

Packed dimensions and actual weight give you useful details for a quote request and a reference if the parcel is checked again. Sending several boxes? Record each one separately so you can keep track of the full order.

What do you need to measure a parcel?

  • The parcel, fully packed and sealed as it will be handed over.
  • A tape measure and a scale.
  • A note or order record for the parcel’s dimensions and actual weight.
  • For a multi-box order, labels for each box and a record of the total count.

What parcel measurements should you record?

Record length, width and height in centimetres, plus actual weight in kilograms. Measure the longest side as the length, then the other two sides. For an uneven parcel, use its greatest dimensions as if it were inside a rectangular box. Don’t assume one volumetric-weight formula applies to every option; provide the dimensions and let the quote option determine the relevant calculation.

How to measure and weigh a parcel: step by step

  1. Pack and seal the parcel first, including the protective packaging you plan to send.
  2. Measure the longest side, then the other two sides. Record length, width and height in centimetres.
  3. Weigh the finished parcel and record its actual weight in kilograms.
  4. Photograph the packed parcel beside the tape measure. Save the photo and scale reading with your order record.
  5. For multiple boxes, measure and weigh every box separately. Record the total count and label them “1 of N”, “2 of N”, and so on.

Light but bulky parcel? Check the fit, not just the weight

A parcel can be light and still take up substantial space. If yours is unusually long, wide, tall or awkwardly shaped, include its packed dimensions and weight when you check the available options. Treat vehicle fit as a separate question: don’t assume a parcel is suitable for a motorcycle just because it is light.

Parcel measurement checklist before handover

  • Did you measure the fully packed parcel?
  • Have you recorded all three dimensions and the actual weight?
  • For a multi-box order, does every box have its own measurements, weight and sequence label?
  • Have you saved the measurements with the correct order reference?

Common parcel-measuring mistakes to avoid

  • Measuring the unboxed item instead of the finished parcel.
  • Recording weight but leaving out the dimensions.
  • Treating several boxes as one parcel instead of listing each separately.
  • Assuming a bulky parcel will fit a motorcycle without checking suitability.
  • Relying on measurements that don’t match the packed parcel.
