Keep every customer’s order straight on one truck: agree who loads, prepare a clear record for each drop and know what to do if a receiver is not ready. A simple handover routine helps you spend less time sorting out delivery questions and more time growing your business.

What is a multi-customer truckload checklist for?
It gives your team one repeatable handover for a shared load: each customer’s goods are identified, each stop has its own paperwork, and the quantity handed over is recorded. If your customer addresses include places around Gikomba, Industrial Area, Githurai or Thika, list each destination as its own stop rather than relying on memory.
Who loads and secures a shared truck?
Settle the loading and unloading arrangement before dispatch. Put the agreed roles in writing; do not assume the driver is automatically responsible for loading or unloading.
- Name who supplies the loading and unloading labour.
- Assign someone to count and check the goods against the order before loading.
- Agree who arranges and checks that the load is secured against shifting, spilling or falling.
- Name who reports damage, shortages or other mismatches, and who receives those reports.
What paperwork should travel with a multi-customer truckload?
Keep one delivery note for each customer’s drop, and use a master run sheet or manifest to connect each customer and destination to the right order and package count. Keep each customer’s paperwork distinct so one handover does not get mixed up with another.
- On each delivery note, identify the recipient, delivery location, goods and planned quantities.
- Leave space to record the quantity actually handed over and any shortage, damage, substitution, refusal or outstanding balance.
- Capture the receiver’s name, signature and date when goods are handed over; keep the completed record with the order.
- Check the customer’s order or contract for any additional documents it requires, such as a packing list, purchase-order reference or goods-received record.
How do you reconcile partial drops?
At every stop, compare the planned quantity with what the receiver actually accepts. Record the difference on that customer’s delivery note before completing the handover record. If part of the order remains outstanding, show the balance clearly so the next person checking the order can see what is still due.
What if the receiver is not ready when the truck arrives?
A receiver who cannot accept the order can disrupt a carefully planned run. Before dispatch, confirm the receiving contact, the delivery location, who is authorised to accept the goods and whether staff will be ready to check them.
- Contact dispatch or the customer and ask for instructions if the receiver is unavailable.
- Record the attempted handover and the outcome against that customer’s order.
- Do not mark the goods delivered without evidence that the handover took place.
- Keep the goods and paperwork identified to that customer while the next step is arranged.
Easy-to-miss checks before the truck leaves
- Match every customer’s packages to the right delivery note and stop on the master run sheet.
- Confirm that the agreed loading, unloading and load-securing roles are understood.
- Check that each stop has a receiving contact and an authorised person to accept the goods.
- Keep completed handover records with the related order so your team can answer customer questions clearly.
