What is a food handover checklist for?
A handover checklist connects the product to its order or lot, shows who accepted responsibility, and captures the goods’ condition at that moment. It also gives you a clear trail when a customer asks where an order is or reports a problem. Use one record for every transfer: supplier to collection point, stall to vehicle, vehicle to restaurant, dairy or butcher, and onward to the customer.
If your workflow includes a Gikomba market pickup, an Industrial Area collection point or a delivery onward to Kiambu, treat every change of hands as a fresh checkpoint—not just the first pickup and final drop-off.
What should you record at every fish, dairy or meat handover?
- Order or lot identifier, product description and quantity.
- Date and time of the transfer, plus pickup and drop-off points.
- Sender and receiver names, with a clear record of who accepted the goods.
- Package condition: note damage, leakage, missing labels or a broken seal.
- For temperature-sensitive goods, record the reading, when it was taken, and where and how it was measured. Follow the product’s handling instructions rather than using one temperature target for fish, dairy and meat.
- Photos of the goods and packaging at dispatch and receipt, especially if anything looks different from the expected condition.
- Any exception, who was notified, and what action was agreed before the goods move on.
What should you check for fish, dairy and meat?
- Fish: check the condition of the product and packaging at loading and unloading, and note any exposure or damage that needs attention.
- Dairy: check containers are clean, covered and in suitable condition for the product. Note any visible concern before accepting the handover.
- Meat: check the packaging and condition, and keep the documents required for that consignment with its record.
- For any product with a condition concern, stop the routine handoff long enough to record it, notify the responsible person and agree what happens next.
Easy-to-miss details that can prevent a handover dispute
- A signature alone does not describe condition. Pair acceptance with inspection notes and photos.
- Match paperwork to the product, lot or order, and intended recipient.
- Give each transfer a named record-keeper so responsibility does not get lost between people.
- Save each record under the same order or lot identifier used by your team, so you can find it quickly when a customer asks for an update.
- Use a reusable phone form or printed checklist to keep the routine practical during busy market and restaurant handovers.
