What is this delivery privacy checklist for?
It gives you a repeatable way to document a handover, respond to “Where is my order?” and keep useful evidence without collecting or sharing more customer information than you need.
Delivery photos: what should you capture?
- Capture only what helps show the parcel reached the intended handover point.
- Before taking a photo, check the frame for faces, door numbers, address labels, screens and other identifying details.
- Keep the handover discreet. If a photo is not necessary, use a less intrusive way to record the delivery.
- Send the customer a brief confirmation through your usual customer communication channel.
Should you photograph a customer’s ID?
- Do not request or photograph ID by default. First consider whether there is a clear, necessary reason to check it.
- If a check is needed, consider verifying the information without keeping a copy.
- If you must retain a record, restrict who can access it, store it securely and set a point to review whether it should be deleted.
- Avoid sharing ID images or details in informal group chats.
How should you handle disputed-customer evidence?
Keep delivery evidence in a private, controlled channel and share it only with people who need it to resolve the issue. Never post a customer’s name, address, messages, ID or delivery photo on social media to settle a dispute. File relevant evidence privately under the order reference.
Can you reuse a delivery photo or customer story in an advert?
- Treat delivery proof and marketing as separate purposes. A handover photo is not automatically permission to promote your business.
- Ask specifically before using a customer’s image or story. Explain where and how you plan to use it, and record their permission.
- Make it easy for the customer to decline. Take extra care with children’s images and get a parent or guardian’s permission before considering public use.
Easy-to-miss privacy checks before you share
- Check the whole image, not just the parcel: a reflection, background or notification on a screen can reveal extra details.
- Crop or obscure identifying details before sharing an image with someone who needs it.
- Keep evidence for the delivery issue, not as a general collection of customer photos or documents.
- Use the same handover routine for each order so your team knows what to capture, where to keep it and who may see it.
