What is a daily dispatch checklist for?

It gives you one repeatable handover before a run leaves, a clean way to handle exceptions and a reliable closeout when the work is done. Instead of rebuilding the plan for every delivery, your team can check the essentials, share clear instructions and see what still needs attention.

Before release: confirm the driver, vehicle and run details

  • Confirm the assigned driver is available, prepared for the run and has the instructions they need.
  • Check that the assigned vehicle is available, clean and ready for the planned work.
  • Review the route and stop order. Flag access details or other practical instructions the driver will need.
  • Reconcile the parcel count against the dispatch record. Make sure each parcel is matched to the correct delivery details.
  • Share customer contact instructions and any special handling notes that are necessary for the delivery.
  • Record the driver, vehicle, parcel count and key run instructions in one handover record.

How do you keep customers informed about an order?

Agree who sends updates and which channel to use before the run starts. Give customers useful information when a delivery needs attention, and keep the message tied to the actual status. Keep customer details visible only to people who need them for the delivery task.

How should you close a failed delivery stop?

  1. Record the attempt and when it happened.
  2. Write down the reason the delivery could not be completed, using clear, factual notes.
  3. Set the next action, such as a follow-up or return to dispatch, and assign someone to own it.
  4. Notify the customer or sender through the agreed channel.
  5. Keep the parcel accounted for until it is reassigned, redelivered or handed back to dispatch.

What if a driver drops out mid-route?

Have a cover procedure ready before the run begins. If a driver becomes unavailable, dispatch can identify the affected parcels and remaining stops, check that a replacement driver and vehicle are available, then record the parcel handover and instructions. Tell customers about any change through the agreed channel.

Easy-to-miss dispatch checks

  • Make sure the parcel count at handover matches the dispatch record.
  • Pass on access and handling instructions, not just the destination.
  • Treat a failed stop as an open task: record its owner and next action.
  • When a run changes hands, record which parcels and instructions moved with it.
  • Close the run by reconciling every parcel against a delivery confirmation, a failed-stop record or a return-to-dispatch handover.
