Make your next shipment easier to organise

Your first shipment is your best teacher: keep the right details and you can repeat what worked, fix what didn’t, and spend less time arranging the next order by hand. Moveka is Kenya’s largest courier, with one of Kenya’s most deeply connected courier networks.

The outcome: a repeatable dispatch routine

Turn one completed order into a simple routine: capture the booking details, keep the quote and receipt together, then record what happened. That gives you a clearer handover, useful customer updates, and a stronger starting point for the next shipment.

What should you have ready before sending again?

  • The recipient’s name, phone number, address and clear delivery directions.
  • A description of the parcel contents, dimensions or weight details you used, and notes on how it was packed.
  • The previous quote, booking receipt, selected service option and tracking reference.
  • Your handover and delivery notes, customer messages, any exceptions, and feedback.

Keep three records for every order

  1. Booking record: recipient contact, delivery instructions, parcel contents and packaging notes.
  2. Quote and booking record: quoted terms, chosen option, receipt and tracking reference.
  3. Outcome record: handover and delivery status, customer updates, available proof, exceptions or extra costs, and customer feedback.

Save all three against one order reference. When an order is waiting for handover or a customer asks for an update, you can find the useful details without searching through scattered messages.

How do you compare the quote with what happened?

Compare like with like. Check that the origin and destination, parcel details, selected option and quote inclusions match before drawing conclusions. Then review what actually happened against the quoted terms and note any delay, failed handover, address correction, damage or extra cost.

If the shipment conditions changed, record the difference instead of treating it as a direct comparison. Keeping the original record makes your next review more useful.

What should you update before the next shipment?

  • Recheck the recipient’s phone number and delivery directions.
  • Repeat packaging steps that protected the parcel well. Use a firm package with enough cushioning, and check that the contents do not shift when it is closed.
  • Correct weak packing or labelling habits. Make the address easy to read, include a return address, and remove or cover old labels if reusing packaging.
  • Prepare a short dispatch checklist and a customer-update message you can reuse.

Common repeat-shipment mistakes to avoid

  • Starting from memory instead of checking the previous booking and outcome.
  • Comparing shipments with different parcel details, destinations or options as though they were the same.
  • Reusing packaging without checking its strength, cushioning, labels and address.
  • Leaving customer updates until someone has to ask where an order is.

The next step: put what you learned to work
