The goal: fewer supply surprises, smoother service

When supplies run low, guests feel the disruption and your team loses time arranging urgent purchases. A repeatable ordering and receiving routine helps you spot needs earlier, prepare whoever is receiving, and keep each parcel tied to the right order and destination.

How to plan lodge and hotel supplies: the routine in order

  1. Set a regular ordering review and cutoff. Keep a rolling view of what you expect to need, then release a separate, approved order when quantities and required dates are confirmed.
  2. Sort the order into distinct lines for food, linen, guest amenities, cleaning supplies and maintenance parts. Specify the exact item, pack or unit, quantity and intended store or department; keep different specifications separate.
  3. Check usable stock and open orders before adding quantities. Mark event estimates as tentative until they are confirmed, and name the person who approves late changes or substitutions.
  4. Choose the parcel handover plan for each approved order. Keep orders together where practical, but do not combine items if doing so could confuse specifications, receiving points or handling needs.
  5. Before dispatch, give the receiving person the order reference, expected items and quantities, receiving point, contact person and agreed arrival window. Assign someone to receive and inspect it.
  6. At handover, match the parcel to its order and intended destination. Check quantities and specifications, then record what was accepted, rejected or missing. Track any replacement or other resolution until it is closed.
For temperature-sensitive food, make a separate receiving and handling plan that follows your property’s approved food-safety procedures.

What should you track on every supply order?

  • Item name, exact specification, pack or unit, and quantity.
  • Intended receiving point and the person responsible for the handover.
  • Usable stock, open orders, required date and order approver.
  • Order reference, parcel or delivery reference, and arrival details.
  • Separate quantities for accepted, rejected, short-delivered and unresolved items.

Review emergency purchases and receiving discrepancies at your next ordering cycle. Use recurring shortages, late arrivals, substitutions and damaged goods to adjust the next order or handover plan. Set stock-check frequency around each item’s risk, perishability, value, movement and your team’s capacity.

Common lodge and hotel supply mistakes to avoid

  • Treating a forecast as an approved order. Confirm quantities and authorization before releasing the order.
  • Using vague descriptions or unclear pack sizes. State the exact item and unit so the receiver can check what arrived.
  • Sending a parcel without a named receiver or clear receiving point. Share handover details in advance and assign someone to inspect it.
  • Recording only what was ordered, not what was accepted. Keep the order and receiving record distinct, and log shortages or rejected items separately.
  • Combining products with different specifications just to consolidate. Keep them on separate lines and preserve the details the receiver needs.
