Five sites, one plan: keep orders moving, give customers clear updates and make sure small, expensive fittings don’t disappear inside a bulk delivery. Whether your jobs are around Industrial Area, Athi River, Mlolongo or Kitengela, one repeatable routine beats arranging every drop from scratch.

Moveka is Kenya’s largest courier and one of Kenya’s most deeply connected courier networks. Pair that reach with a reliable handover routine, and your customers get a clearer picture of each order’s progress.
The goal: every site order accounted for
You need to know what is going where, who can receive it and what happened at handover. Keep one record for the full run so your team can answer “Where’s my order?” without piecing the story together from scattered messages.
How do you organize several site deliveries?
Build one run sheet before dispatch. Give every order a distinct reference, then record the site pin, written access instructions, named receiving contact, customer-agreed delivery window, parcel count and any special handling notes. Check that each site is ready to receive before assigning its drop.
- Group orders by run and give every drop a clear order and site reference.
- Confirm the receiving contact and the site’s ability to accept the load.
- Pack and count each order against its run-sheet entry.
- Record each handover, then update the customer and your shared delivery status.
What if a construction site can’t receive the load?
Don’t leave the order at an unapproved spot or with someone whose authority hasn’t been confirmed. Contact the customer, record the issue and agree the next step: a named alternate recipient, a revised delivery arrangement or return to your chosen holding point. Then tell the customer what was agreed.
How do you stop small, expensive fittings getting lost?
Give high-value fittings their own checkable place in the order. Pack them separately, label each pack with the order and site reference plus an item description, and record the quantity. Count them at packing and again at handover. If the product already has a batch or other identifier, record it instead of relying only on a broad description.
What should you track for each delivery?
Close every drop with a simple handover record: order reference, recipient name, parcel and item count received, any shortage or damage noted, and handover time. Keep any exception visible on the run sheet until the customer has been updated and the next action is agreed.
- Packed
- Dispatched
- Arrived
- Handed over
- Issue reported
- Next action agreed
Common mistakes that create delivery confusion
- Sending a load before confirming the site can receive it.
- Leaving an order somewhere or with someone the customer hasn’t approved.
- Counting bulk parcels but not separately tracking small, valuable fittings.
- Using inconsistent status notes that leave your team guessing.
- Closing a drop without recording the handover or updating the customer.
