Know which number to keep, which label belongs on each box, and what proves handover—so your parcel is easier to identify and you avoid a paperwork mix-up. These four terms have different jobs, even when a courier uses more than one name for the same record.

What’s the difference between a booking reference, label, waybill and receipt?
Think of them by job, not as four guaranteed separate documents. A booking reference helps you find the booking; a label identifies and helps route the physical parcel; a waybill records shipment details and may also serve as the label and tracking identifier; and a receipt records a transaction or handover, depending on what it says.
Booking reference: what is it for?
A booking reference is an identifier for the booking. It can help you or the courier find the order, but don’t assume it is also the number used to track the parcel.
Shipping label: what does it identify?
The label goes on the physical parcel. It carries information used to identify and route that box, often with a scannable barcode. Make sure each parcel has the label intended for it; don’t reuse one label across separate boxes.
Waybill: is it the same as a tracking number?
A waybill records shipment details and can also act as the parcel label and tracking document. Its number may be the tracking number. Because courier terms can overlap, check which identifier actually tracks your parcel rather than relying on the name alone.
Receipt: does it prove the parcel was handed over?
A receipt records a transaction or an event, but what it confirms depends on its contents. Check whether it shows booking only or confirms the carrier accepted the parcel. Keep any carrier-issued handover record you receive.
Example: which numbers should you save?
Suppose your booking confirmation has a booking reference, while the parcel label shows a shipment ID. Save both with your order details and mark which is which. If you contact the courier, share both if available and ask which identifier they need to locate or track the parcel.
Sending several boxes in one order? Keep every parcel traceable
Count the physical pieces before handover and check that each box has its own correct parcel-specific label. Keep any master shipment number alongside the individual tracking numbers. Don’t assume one label or one package number identifies every box.
What should you keep, and what should you ask the courier?
- Keep the booking confirmation or receipt and note the booking reference.
- Save the shipment or tracking ID shown on the confirmation, receipt or label.
- For multiple boxes, keep each parcel’s identifier distinct and retain any master number too.
- Ask which identifier tracks the parcel and whether your receipt confirms booking or carrier acceptance.
Clear records make it easier to choose the right option and avoid confusing your order with a parcel identifier. Moveka is Kenya’s largest courier and one of Kenya’s most deeply connected courier networks.
